Frequently asked questions

The Rental Passport, clearly explained

Answers to the questions tenants, agencies and landlords ask most often about Prolocol in Luxembourg.

For tenants

Can a landlord find me without me applying everywhere?

Yes, that is the idea behind the OpenList. Once your Rental Passport is created, your profile appears there: your score, your budget, the region you are looking in, the rental period you want and the type of home (apartment, house or room).

Estate agencies and private landlords who have a home to rent in Luxembourg browse the OpenList and contact you when you match their property. So you no longer need to tell everyone you are looking: they come to you. You can remove your profile at any time.

Your documents are never public, and joining is free.

How can I find an apartment or a room to rent in Luxembourg faster?

In Luxembourg, a rental listing often attracts many applicants, and the clearest dossier often makes the difference. The Rental Passport helps you in two ways.

When you apply for an apartment, a house or a room on atHome, Immotop or another portal, the agency automatically receives your score and your dossier (Auto-Match). And through the OpenList, agencies and landlords who have a property to rent can find you, even when you are not actively searching.

Prolocol does not publish listings: you keep searching for them on the portals. For you, as a tenant, everything is free.

Which documents does a landlord ask for to rent in Luxembourg?

Before signing a lease, a landlord or an agency usually asks for an identity document, your latest payslips and your employment contract, to check that the rent is affordable for you.

With the Rental Passport, you gather these documents once. Prolocol reads them, calculates your score (net available income ÷ rent) and you get a verified dossier you can show at every viewing, for example with the QR code on your Passport, without printing or sending your documents each time.

Is the Rental Passport free?

For a tenant, Prolocol is entirely free: creating your dossier, getting your documents verified and appearing in the OpenList costs nothing. It's the agencies (€59/month) and individual landlords (€19 or €39) who fund the service.

How do I create my Rental Passport?

Just click 'Create my file' at the top of the page. You fill in a short assessment, add your documents if you'd like to, and your score is calculated right away.

How long does it take?

Analysing your documents takes a few seconds, and creating your dossier takes about two minutes.

What I can't promise, though, is a timeline for finding housing: that depends on the market and your criteria. What Prolocol changes is that your dossier is ready and credible from the very first second.

Which documents do I need to provide?

Three documents are enough: your payslips (the last 3), your employment contract and a piece of ID. Our system reads them automatically and calculates your score in seconds.

What is the difference between a verified and a declared dossier?

A 'Verified ✓' dossier means our systems have actually read your supporting documents. A 'Declarative' dossier is based only on the figures you entered, with no proof.

Both are accepted, but a verified dossier inspires noticeably more trust with agencies - and a declarative dossier always stays 'on request'.

How is the solvency score calculated?

It all comes down to the coverage factor: your available net income divided by the monthly rent.

≥ 2.9: Excellent
≥ 2.4: Solid
≥ 2: Appreciable
< 2: To strengthen

Example: €3,900 net income for a €1,450 rent gives 2.7 - so Solid.

My score is low: what can I do?

A low score doesn't close any doors: it simply reflects the ratio between your income and the rent you're targeting. Aiming for a slightly lower rent, or presenting a guarantor, often changes things.

And your score evolves with your situation: it is never set in stone.

Who sees my documents?

You decide. You choose between 'Attached to the dossier' (the agency receives them directly) and 'On request' (they have to ask you, and you stay in control of yes or no).

Good to know: each agency or landlord who opens your Rental Passport can view your documents for 30 days from their own first viewing. After that, they need to ask again.

Does the Prolocol team look at my dossier?

No one looks at your dossier out of curiosity. Analysis of your documents is automatic, and internal access is restricted to strictly necessary cases (a support request from you, for example).

On the agency side: they only see what you have authorised, and never before you are visible or before you have applied.

Is my data safe?

Your documents are encrypted (AES-256), stored on servers in Europe, and the whole platform is GDPR compliant - the competent authority in Luxembourg is the CNPD.

Concretely: nothing is public, nothing is indexed by Google, and only the people you authorise can open your files.

Does Prolocol sell my data?

No. Your data is never sold, rented or transferred to third parties, and it is never used for advertising.

The model is simple and deliberately unambiguous: it's the agencies and landlords who pay for access. You are not the product.

How long are my documents kept?

Your documents stay as long as your dossier is useful to you, and you can stop being visible whenever you want from your dashboard.

On the agency side: each agency or landlord keeps access to your files for 30 days from their own first viewing, no longer. If your account stays unused for 1 year (no sign-in and no change to your dossier), it is deleted automatically together with the whole dossier. You get a warning e-mail 30 days before: simply signing in keeps it.

For a complete deletion, write to us at info@prolocol.lu.

How do I remove my profile or delete my account?

You can withdraw your profile from the OpenList at any time from your dashboard: you're then no longer visible to agencies.

For a complete deletion of your account and your data, write to us at info@prolocol.lu - it's a GDPR right, and we process the request.

Can I trust Prolocol?

A fair question, and you're right to ask it before sending documents.

Prolocol is a Luxembourg company; the legal notices, privacy policy and terms of service are available at the bottom of every page. You can also write to us at info@prolocol.lu before submitting anything - or create a declarative dossier, with no documents at all, to try the service first.

For agencies and landlords

What is the OpenList?

The OpenList is the showcase where registered tenants become visible to subscribed agencies and landlords. Instead of applying over and over, you let yourself be found.

For a tenant, joining is free.

How does Auto-Match work?

When you apply on a portal like atHome or Immotop, the agency automatically receives your score and your Prolocol dossier by email - with nothing extra for you to do.

On the agency side, it needs a one-time setting in their inbox.

Does Prolocol read agencies' e-mails?

Prolocol has no access to your inbox at all. On the agency side, it's the agency itself that sets up a forwarding rule, only for applications received from listing portals.

That forwarded message is read exactly once, automatically, to identify the applicant - then deleted. Nothing is kept.

How much does Prolocol cost an agency?

The agency's Pack Complet is €59/month, cancellable at any time. It gives access to the full OpenList, to Auto-Match, and to your candidates' verified dossiers.

How much does Prolocol cost a private landlord?

For an individual landlord renting out their property, two options: Pack One at €19 (7 days of access) and Pack Plus at €39 (30 days, with finer filtering). No subscription, you pay once.
